Sharing Data
The online deposit form facilitates the secure upload of files via a Web browser, enables the depositor to describe the data being deposited, and establishes the terms and conditions of transfer. Depositors should create a free ICPSR Researcher Passport account to deposit data.
Some NIJ projects (e.g., forensic science projects) are not required to submit their data to NACJD under their NIJ-approved Data Archiving Plan. Instead, use the NIJ Projects Archiving at Other Data Repositories form to submit study-level information.
Submission Guidelines
NIJ and OJJDP awards involving data collection include a special condition requiring the data to be deposited within NACJD upon project completion. The following items are required for your deposit:
- Data (de-identified) and documentation (as described in each of the following guidelines):
- Approved Data Archiving Plan
- IRB-approved protocol or determination letter
- Fully executed Privacy Certificate
- Final report or journal article(s) – draft versions are acceptable and will not be released
- Completed NIJ and OJJDP Submission Checklist and Inventory – all submitted files should be listed in your inventory
- IRB-approved informed consent forms
- Data use agreements for data obtained from external sources
NACJD staff conduct their preliminary review of deposits within 10 business days. Depositors must abide by deposit guidelines and may need to provide additional data or documentation before their institution is released from the special condition regarding depositing research data within NACJD. Project materials should be deposited 90 days prior to the award closeout date.
Once NACJD has confirmed that all required materials have been received, your deposit will undergo a second review. This review is generally completed within 20 business days, but actual timelines depend on the size of the deposit review queue.

Two archiving orientation videos recorded in 2022, along with downloadable slides in PDF, are available. We also provide a full demonstration of the ICPSR online deposit system to guide viewers through the deposit process. The deposit process is the same for NIJ and OJJDP datasets.
