Use this checklist to plan ICPSR outreach, promote member benefits, support campus users, and keep your institution’s access working smoothly throughout the year. Tools and templates are available on the Promoting ICPSR page.

- Fall Semester – Host a demo, promote data for research and student projects, share teaching resources, promote Summer Program and scholarships, check login access
- Spring Semester – Promote the Summer Program and scholarships, host Love Data Week activity, promote ICPSR data
- Summer – Review usage reports, contact high- and low-use departments, plan for Love Data Week
- Annually – Post flyers, update IP ranges, attend ICPSR events, nominate awardees/Council members, complete Representative Survey

Seasonal Tasks
Fall semester
- Host an ICPSR overview session or live demo for students, faculty, staff, departments, or research centers.
- If you cannot host a session yourself, request a free webinar led by ICPSR staff.
- Confirm that all ICPSR login options are working as expected, including institutional single sign-on (more info).
- Promote ICPSR data to:
- Faculty as a source for publications, grant work, and secondary data analysis.
- Students for course assignments, capstones, theses, dissertations, and independent research projects.
- Share ICPSR Teaching and Learning resources with instructors and students.
- Send emails to departments, centers, and graduate programs about discounted Summer Program tuition (templates available).
- Promote ICPSR Summer Program scholarships, which are typically due in early spring.
- Promote the ICPSR Data Communication Scholarship, due February 23 each year.
Spring semester
January.
- Promote ICPSR Summer Program scholarships, which are typically due in early spring.
- Promote the ICPSR Data Communication Scholarship, due February 23 each year.
- Remind students, faculty, and staff about discounted ICPSR Summer Program tuition through your institution’s membership.
February
- Promote ICPSR Summer Program scholarships, which are typically due in early spring.
- Promote the ICPSR Data Communication Scholarship, due February 23 each year.
- Host a Love Data Week event or activity
- Promote ICPSR data to:
- Faculty as a source for publications, grant work, and secondary data analysis.
- Students for course assignments, capstones, theses, dissertations, and independent research projects.
Summer
- Check your ICPSR usage reports and send follow-up emails to:
- Departments with strong data usage, thanking them and offering continued support.
- Departments with no data usage, who may be unaware they have access.
- Begin planning for Love Data Week (February)
Annual Tasks
- Post flyers in Library, academic halls, and related Centers (templates available on the Promoting ICPSR page).
- Review and update IP range(s) using the Manage Your Membership resources. Send any updates to [email protected].
- Make a plan to attend ICPSR’s flagship events: the ICPSR Biennial Meeting or Data Fair.
- Nominate awardees and Council members.

- Stay in touch on the ICPSR Forum.
